Challenge

The customer, a digital insurance broker, was facing significant challenges with their current Microsoft 365 SharePoint Online setup, which consisted of two separate team sites where data was uploaded. The main challenge posed the complex data structure that exceeded the 5000-item threshold limit, hindering efficient access and management of information. This prompted a migration to a new SharePoint Online tenant to streamline operations and improve data accessibility.

In addition to the primary challenge of the data structure, the customer had additional requirements: the migration to be completed within a short timeframe and without the use of third-party tools. Furthermore, it was essential to replicate the existing permission matrix setup in the new tenant to ensure seamless access control and maintain data security. The tight deadline and restriction on third-party tools made this request particularly challenging, requiring the team to carefully plan and automate the migration using PowerShell scripts.

Solution

The DIGITALL team kicked off the project delivery with an assessment of the current status quo in the source tenant. After gaining a clear understanding of the hierarchy model and file distribution, the team performed a series of automated library reports to analyze the existing permission matrix. Although this in-depth analysis required significant effort, the team successfully managed to migrate the data and replicate the permissions setup in the new tenant.

The migration process was completed using automated PowerShell scripts, maintaining the hierarchy model as requested by the customer. This successful completion of the migration not only resolved the customer's immediate issues but also provided a more efficient and manageable SharePoint environment. As a result, the customer now operates more effectively and securely, meeting their goals and improving overall productivity.

In addition, the DIGITALL team provided detailed technical documentation and consultancy opinion to help the customer maintain a healthy environment in the long term.
