Challenge

The customer, an EU-based digital insurance broker, was looking to migrate its mailbox to Exchange Online. Several challenges had to be considered, including ensuring the necessary permissions and licenses were in place across both the source and target domains. The migration process itself involved an initial test phase (Proof of Concept) to validate readiness, followed by the full migration of Exchange mailboxes between tenants. A key challenge was that end users were expected to recreate their own Outlook profiles, which could be problematic for those unfamiliar with the process.

Additionally, Office 365 backups needed to be activated on both tenants prior to migration to ensure data protection. Throughout the project, effective communication and coordination among all parties were essential to address any emerging issues. These challenges required careful planning and precise execution to ensure a smooth and successful migration.

Solution

DIGITALL delivered a comprehensive and structured solution for the customer’s Exchange mailbox migration, ensuring a smooth and efficient transition. The engagement began with a detailed assessment of the existing mode of operation and careful preparation of the Microsoft 365 tenants, including the configuration of all required migration entities and components. Office 365 backups were activated on both tenants prior to migration, securing data integrity throughout the process. A test migration (Proof of Concept) validated the process and confirmed readiness. The actual migration of Exchange mailboxes was then carried out in phases, minimizing disruption and enabling close monitoring. During testing, technical issues with Microsoft Purview arose, which DIGITALL addressed by integrating the third-party tool CodeTwo for reliable synchronization.

Post-migration, DIGITALL provided targeted support, including assisting end users with recreating their Outlook profiles to ensure smooth functionality. The team also delivered clear documentation and structured knowledge transfer enabling the customer to take full ownership of their new system. Through this hands-on, end-to-end support, DIGITALL created tangible value by reducing risk, ensuring data security, and enabling a seamless migration experience.
